Discounts to win the owner
When an owner has also called three other managers, you often lower the fee to close. That discount is paid every month for as long as they stay.

Get results in days, not monthsResults in days, not monthsWhat a lead means here
The word lead covers two very different people in this trade. The first is a property owner who wants somebody to run a rental: collect rent, screen tenants, handle maintenance, deal with the evictions nobody likes. The second is a renter looking for a place to live. Most vendors who sell property management leads mean the first. Some sell the second, and that is a leasing channel, not a growth channel for your management book.
Owner leads come in sizes. A single-family landlord with one rental behaves differently from a small investor with eight doors, an out-of-state owner who inherited a duplex, a condo or homeowners association looking for a new manager, or a commercial landlord with a small retail strip. Each one searches differently, decides differently and stays differently. A vendor that sorts them well is worth far more than one that sends everyone who ticked a box.
Timing matters too. Owners who are ready to switch managers often act after a bad month: a tenant who stopped paying, a repair that dragged on, a statement that was late. Owners with a vacant unit want help right now. Owners who are only curious want a quote and then vanish. When you buy property management leads, you are paying for someone else's guess about which of those people you are getting.
Many states require a real estate license or broker supervision to manage property for others, and those rules can also limit what you can pay unlicensed parties for finding owners. Check with your state real estate commission before you agree to any fee tied to signed agreements. This is general information and not legal advice.
Track it
| Stage | What to record | Why it matters |
|---|---|---|
| Inquiry received | Source, date and time, owner type, number of doors, address and what they asked for. | Lets you compare vendors and owned channels on the same terms. |
| First contact | Minutes from inquiry to a real conversation, and how many attempts it took. | Speed often explains more than the source does. |
| Fit check | Rent range, property type, condition, whether the owner is selling soon. | A lead who plans to sell in a few months is a low-value door. |
| Proposal sent | Management fee terms, leasing fee, any discount offered to win the owner. | Discounts are part of the real cost of the lead. |
| Agreement signed | Date, doors signed, fee schedule, onboarding promises. | This is the event that pays you. Count it, not the call. |
| Onboarding | Staff hours, inspection time, free months or waived fees, repairs fronted. | Adds true cost to each signed door. |
| Months retained | How long each owner stays and why they leave. | A door that leaves in three months may never repay what it cost. |
| Money collected | Fees actually earned from each door by source. | Cost per signed door only tells half the story. Lifetime fees tell the rest. |
Test small
For example, small investors with one to ten doors in a single county. A narrow test is readable. A broad one is noise.
Agree on a weekly cap with the vendor and a right to stop at any time with no penalty. If they push for a long term first, that tells you something.
Name who gets each inquiry. Property management leads lose value by the hour, and a call that goes to voicemail on Saturday morning often goes to the next company.
Use the worksheet. Record the reasons people were not a fit, because reasons reveal sourcing problems, like owners who only wanted to sell or renters filling a form by mistake.
Divide spending by agreements signed, then add onboarding costs. Compare with a source you own. Keep going only if the bought number is at least as good and you can scale the capacity.
Hidden costs
Margin you give away
When an owner has also called three other managers, you often lower the fee to close. That discount is paid every month for as long as they stay.
Time before revenue
Inspections, photos, key handoffs, tenant introductions and setup in your software all take hours before the first fee arrives.
Wrong customer
Some leads are people testing the market before listing. They sign, then leave in a season. Count them separately.
Racing to answer
If five companies get the same inquiry, the owner may sign with whoever calls first, not whoever fits best.
Quality drops
A burst of new doors without a bigger maintenance and accounting team can hurt the owners you already have.
Wasted calls
Renters mixed into property management leads and people asking about a unit you do not manage burn staff time.
The other path
GetPhound does not sell leads, resell them or run a marketplace. What we do is build the things an owner finds on their own: pages for the cities and rental types you want, a Google listing with honest reviews, managed ads aimed at owners who are searching, and answers that AI tools can read about how you work. We then tie each source to signed agreements so you can see where doors really come from.
The prices are simple. RankGuaranteeâ„¢ landing pages are $495 a month, for twenty-five new pages a month plus page management and rank tracking. Organic Growth starts at $1,495 a month with Silver, adds a managed custom website at Gold for $2,495 a month and goes up to Platinum at $3,495. Managed ads start at $895 a month for one platform, $1,595 for two and $2,295 for three, with ad spend paid to the platform. Month to month, no setup fee, no contract.
That will not suit every manager. If you need doors this quarter and have the staff to take them, a capped test of purchased property management leads can be a fair stopgap. Just keep the worksheet honest and keep building the sources that still work when you stop paying.
What managers ask
Sometimes, for a short and measured test, when you have the capacity to onboard new doors. It is rarely worth it as your only source. Judge it by agreements signed and months retained, not by the number of inquiries.
Add what you paid the vendor, any fee discount you gave to win the owner, onboarding hours, and any free months. Divide by signed doors. Then compare against owned sources and referrals measured the same way.
How owners are found, whether renters and sellers are filtered out, how many companies receive each one, how quickly it is delivered, what counts as a bad lead and earns a credit, whether calls are recorded, and how long the contract runs.
Exclusive leads cost more and cut the race to answer, but verify the exclusivity in the contract. Shared inquiries can still work if your response time is excellent, though your discount pressure usually rises.
Prices depend on the market and the owner type, so we do not quote any. As a comparison, local pages are $495 a month, Organic Growth starts at $1,495 a month and managed ads from $895 a month plus ad spend, all without a contract.
Mixed customers: tenants, sellers, owners already under contract and curious people sharing a form. A vendor who filters them out and lets you hear the call recordings is worth more than a cheaper one who does not.
Yes. Owners look at ratings and read how a manager treats tenants and handles repairs. Reviews are a source you own, and they improve the close rate on every other source.
No. We do not sell, broker or resell leads. We help managers build owner-facing channels they control and show which ones produce signed agreements.
